To improve accreditation processing times, the UNFCCC is switching its media registration system for June Climate Meetings (SBs) and COPs.
The purpose of this system is to establish focal points from each media organization who will submit one verification document on behalf of their entire assigned staff. To do so, it will require focal points to apply on a separate platform from previous years.
The focal points (those who are assigning media personnel to cover SBs or COPs) will submit an application and a list of assigned personnel on our Indico UN platform.
Assigned personnel will still apply as in previous years using our ORS system – however, they will not have to submit any letters of assignment or additional documentation.
This is the first step towards further automation, and we appreciate your cooperation in helping improve our service.
STEP-BY-STEP GUIDE FOR FOCAL POINTS
Overview
This new model includes the following elements:
· Assigning editors will submit an application and list of assigned personnel on our Indico UN platform.
· Assigned staff (including the editor, if they wish to attend the event) will apply using a separate platform called the Online Registration System (ORS).
· The assigning editor will receive confirmation once their application has been approved on Indico, or if more information is needed.
· Assigned personnel will be approved automatically after their focal point is approved and will also receive confirmation.
To reduce processing times, please:
- Do not submit your Indico application until ALL of your assigned staff have applied on ORS.
- Ensure that all assigned staff use the exact same spelling and capitalization for the “Nominator” category on their ORS applications as you have in your Indico application.
- For example, if the INDICO application has “NBC” as the nominator, ORS applications with “National Broadcasting Corporation” may not be processed correctly.
Step 1 – Prepare your Letter of Assignment for your Indico UN application
This Letter of Assignment should include the following two categories:
- A letter confirming your role as media focal point which meets the following criteria:
- The letter must be on your organization’s official letterhead.
- It must be from your supervisor to the UN Climate Change Press Office.
- It must specify which meeting is to be covered and on what dates.
- It must provide links to your organization's website.
- It must state:
§ That you are authorized to assign staff to cover the event
§ Your full name and position
§ The type of coverage planned (news reporting, photo, video, documentary, etc.)
- It must be signed by your supervisor.
- It must contain contact information for your supervisor (email or phone number).
- List of assigned media personnel
- This list all personnel who are assigned to cover the meeting including
- Their full name as shown on their ID
- The email address used to apply on ORS
- Their role (journalist, cameraperson, audio technician, etc.)
Step 2 – Assigned media personnel submit applications on ORS
· Please instruct all assigned applicants to apply using our online registration system.
o You must also apply on ORS if you wish to cover the meeting.
· Applicants need not submit any documentation with their applications.
· Please be sure that applicants on ORS use the EXACT name and spelling (including capitalization) of the nominator used by the editor in INDICO.
o For example, if the INDICO application has “NBC” as the nominator, ORS applications with “National Broadcasting Corporation” may not be processed correctly.
Step 3 – Submit your application on Indico UN
· Once all journalists have applied on ORS, please submit your editor application via Indico UN.
· You will be asked to upload the document that you have prepared.
· If your application is approved, you will receive a confirmation email, and our staff will approve the applications submitted via ORS.
· Only those applicants on ORS whose information matches the information on the letter of assignment in Indico will be approved.
· If changes need to be made to the list of assigned journalists, please alert our team at press@unfccc.int.
Decisions, Appeals, and Revocation
- Accreditation decisions are at the discretion of UNFCCC, applying this policy consistently and without discrimination.
- If accreditation is denied, the applicant (or editor) may request a brief written explanation and may submit one appeal with additional supporting information.
- Accreditation may be revoked if:
- False information or fraudulent documents are discovered.
- UN staff is unable to verify the existence of the outlet/editor.
- Editors may submit up to two amended assigned personnel lists to the Press office.
