Invitee Registration Focal Points
Substantive programmes have the option to invite participants who do not belong to a Party delegation or who cannot be accommodated within the quotas of the different categories. Participants are usually invited to fulfill a particular role during the conference, e.g. speaker, panelist. Also, family members of staff can be invited under this category. The badge for this category of participants reads “Invitee”.
Instructions:
✅ At least 3 days before access to the conference is needed, the invitee registration focal point, registers the required information in Indico and submits the request, using the registration form.
✅ The relevant authority in the External Relations and Protocol unit receives notifications daily regarding new submissions. Requests are reviewed and approved (or not approved depending on if more information is needed) accordingly in Indico UN.
✅ Upon approval, RAMT downloads the list of approved registrants from Indico, uploads the invitees in ORS daily and tags on the Conference Invitees registration list in Indico UN those records as "entered in ORS".
✅ The invitee registration focal points, the relevant authority in the External Relations and Protocol unit and RAMT can follow-up the status of registration of invitees under the Registration list in Indico UN.
